McMillen Jacobs Associates seeks a Senior Marketing Coordinator with strong writing, communications, organizational, and time-management skills to support marketing efforts, working out of our San Francisco or Walnut Creek office. The primary focus of the coordinator position is to prepare marketing proposals and support the internal operations of the marketing department, while also providing general maintenance of marketing records and materials such as resumes and project descriptions. The position provides firm-wide assistance with proposals and qualifications packages, marketing communications, information management, and research, and will often interface directly with technical staff. The ideal candidate will have excellent writing skills, desktop publishing expertise using Word and InDesign, and be a detail oriented, self-starter who can handle multiple deadlines.


Skills and Responsibilities:

  • Coordinating the development of statements of qualifications and proposals with supervision and supporting major proposal pursuits in the water/wastewater and transit markets.
  • Proposal effort includes facilitation of pursuit planning, writing a proposal directive, and leading and managing all aspects of proposal production. This includes writing the non-technical sections; compiling and editing all proposal sections; preparation, production, and facilitation of draft reviews; managing review recoveries; and final review and edits.
  • Leading efforts in the delivery of Statements of Qualifications.
  • Authoring and maintaining qualifications information (resumes, project descriptions, boilerplate).
  • Managing prospective work opportunities, mailing list contacts, and resume data using Deltek Vision.
  • Participating in planning and execution of industry events.
  • Collecting and reporting on data for revenue forecasts and marketing reports.
  • Maintaining client pre-qualifications and certifications for key and new clients.
  • Delivering a high level of quality in documents and internal service.
  • Communicating with excellent verbal, written, and visual skills.
  • Working independently and as part of a team to meet deadlines.
  • Ability to balance overlapping deadlines and changing priorities with ability to work efficiently under pressure
  • Capability of seeing the big picture in marketing for the firm, while paying attention to the details of the task at hand.
  • Effectively interact with technical staff and other marketing team members to understand and communicate technical information.
  • Ability to research, write, edit, and proofread content provided by proposal team to develop proposal and marketing content and ensuring RFQ/RFP compliance.
  • Demonstrate good decision making, time management, communication, and coordination.
  • Supports business development through research, coordination, and prospective/existing client meetings.
  • Capability of considering the strategy and messaging of individual proposals and general marketing materials.

We are seeking candidates with the following mandatory expertise:

  • Over ten (10) years of relevant experience in marketing, preferably in the A/E/C industry
  • Expert-level proficiency in Adobe Creative Suite, specifically InDesign; and Microsoft Office Suite
  • Proficient in Deltek Vision with an affinity for ensuring accuracy
  • Initiative maintain a willingness to engage in tasks/challenges beyond stated responsibilities. Be realistic and communicate conflicting priorities with the ability to contribute resources for extended initiatives
  • Self-motivated with the ability to perform work in a consistent and positive manner
  • Ability to work overtime when needed (standard hours are 8:30-5:30 M-F)
  • Proposal development experience for local, state, regional, and federal public agencies
  • Must be a team player, willing to work in cooperation with others (marketing and technical) with diverse personalities across various geographical regions, both internally and externally
  • Demonstrates good decision making, superior time management and coordination skills, and the ability to manage multiple assignments concurrently
  • Exemplary organizational, interpersonal, oral, visual, and written communication skills and a professional demeanor
  • Superior grammar and proofreading skills
  • Bachelor's degree with emphasis in business, marketing, communications, journalism, English, or related field preferred
  • Experience working on design-build proposal development a plus
